What Zapier Does
Zapier connects apps that do not talk to each other natively. When something happens in TidyHQ — a new member joins, a payment is received, an event registration comes in — Zapier can trigger an action in another app.
No code. No developer. Just a trigger, an action, and a few minutes of setup.
Popular Automations for Clubs
New member joins → Slack notification. When someone joins through TidyHQ, a message posts to your committee's Slack channel. The committee sees new signups in real time without checking TidyHQ.
Payment received → Google Sheets row. Every payment creates a row in a Google Sheet. Useful for treasurers who want a running log outside of Xero, or for clubs that track payments in a specific format for reporting.
Event registration → Calendar event. When a member registers for an event, it adds to a shared Google Calendar. The event coordinator sees registrations filling up.
New member → Welcome SMS. A personalised text message sent within minutes of joining. Higher open rate than email, especially for younger demographics.
Membership expires → Task in Trello. When a membership lapses, a card is created in the committee's Trello board. Someone follows up personally.
Setting Up a Zap
Step 1: Log in to Zapier. Search for TidyHQ in the app directory.
Step 2: Choose your trigger. "New Contact" or "New Payment" are the most common.
Step 3: Connect your TidyHQ account by entering your API key (found in TidyHQ settings).
Step 4: Choose the action app (Slack, Google Sheets, Mailchimp, etc.) and configure what happens.
Step 5: Test the Zap. Make sure the right data flows to the right place.
Step 6: Turn it on. Zapier runs in the background.
Cost Considerations
Zapier's free plan handles 100 tasks per month with 5 Zaps. For a small club, this is probably enough.
If you need more — complex multi-step automations, higher volume, or premium app connections — Zapier's paid plans start at around $20 USD per month.
For most clubs, the free plan or the starter plan covers their needs.
When Zapier Is Overkill
If the only thing you want to connect is TidyHQ and Xero, use TidyHQ's native Xero integration. It is faster, more reliable, and does not require a Zapier subscription.
Zapier makes sense when you need to connect TidyHQ to apps it does not natively integrate with — Slack, Google Sheets, Trello, Asana, Airtable, or any of the 5,000+ apps in Zapier's directory.
The Principle
Automate the repetitive. A club secretary should not spend time copying data between systems. If a piece of information needs to move from one place to another, and it happens regularly, automate it. That is what Zapier is for.
